Before you order: a checklist for lot documents

Start with the material, not the document title

A file headed “Certificate of Analysis” is only the beginning of a document review. First confirm that the material name, presentation and lot reference correspond to the item being discussed. If the supplier cannot yet identify a lot, keep that uncertainty explicit in your procurement record.

Ask what is available now

Request the documents needed by your laboratory before confirming an order. Ask which are available for the proposed material, which require clarification and whether an example document relates to a different lot. An example is useful for understanding a format; it should not stand in for the document you require.

Keep a short review list

Record the product identity, lot reference, document date, reported results and the questions raised by your laboratory reviewer. Ask for clarification when units, methods or acceptance criteria are unclear. A procurement checklist helps keep the conversation specific without substituting for scientific review.

Close the loop before confirmation
